1. The service
HubLane.app is a customer-relationship-management platform operated by the HubLane.app platform operator ("we", "us"). It lets registered businesses ("merchants") manage clients, leads, deals, invoices, appointments, calls, shipments, properties and related records, including optional integrations (email, SMS/WhatsApp, voice, calendars and card payments). By creating an account or using the service you agree to these terms.
2. Accounts
You must provide accurate registration information and keep your credentials confidential. You are responsible for all activity under your account, for the accounts of team members you invite, and for API keys you create. Accounts of merchants that violate these terms may be suspended or cancelled. A Merchant Owner may reset their own password through the sign-in "Forgot password" flow: we email a single-use, time-limited link to the address on the account. Team members and other roles cannot use that self-service flow; their passwords are reset by a Merchant Owner or by platform staff as described in section 9.
3. Your data and your customers' data
Content you store in the CRM (client records, leads, documents, messages, call logs, files) belongs to you. You warrant that you have a lawful basis to store and process the personal data of your customers in the CRM, and that you will honor their privacy rights. We process that data only on your behalf and on your instructions, as described in the Data Processing Agreement.
4. Public surfaces and integrations
The platform may expose merchant-controlled public surfaces, including lead capture APIs, booking pages and the booking marketplace, shipment tracking links, merchant property listing feeds, and the HubLane Properties public marketplace (browseable listings with map locations, photos, enquiry / offer / buyer-brief forms, and listing-agent contact details you choose to publish). You are responsible for what those surfaces collect and display, for the accuracy of listing content and map coordinates, for which team members appear as listing agents (name, email and phone), for safeguarding API keys and public tokens, and for the content of messages and calls you send through connected providers (including Twilio and Stripe). Card payments are processed by Stripe; we store payment status and references, not full card numbers. Map tiles and optional address lookup may be provided by third-party mapping services (such as OpenStreetMap / Nominatim) under their terms.
5. Acceptable use
You must not use the service to send spam or unsolicited marketing without a lawful basis, store unlawful content, infringe third-party rights, probe or disrupt the platform, or resell access without our written consent. Public capture endpoints (lead forms, booking pages, property enquiry forms, tracking and listing tokens) are rate limited and must not be abused. You must not publish property listings or agent contact details without authority to do so, or use the map / geocoding features to harass or unlawfully locate individuals.
6. Plans, billing and cancellation
Paid plans are billed as agreed at purchase; plan limits (users, clients, invoices) are enforced by the platform. Merchant Owners must keep an accurate business identification number (TIN or equivalent) on the workspace company profile so we know which organisation controls the CRM data. You may cancel at any time; upon cancellation your workspace is deactivated and its data handled per our Privacy Policy and retention schedule.
7. Availability and changes
The service is provided "as is" without warranty of uninterrupted availability. We may change or discontinue features with reasonable notice for material changes. Third-party integrations depend on those providers' availability and your configuration of them.
8. Liability
To the maximum extent permitted by law, our aggregate liability arising out of the service is limited to the fees you paid in the twelve months preceding the claim. We are not liable for indirect or consequential damages, for loss caused by your own breach of data-protection or telecoms law, or for failures of third-party providers you connect (Twilio, Stripe, Google, Microsoft and similar).
9. Platform account administration
Platform staff (Super Admin / platform owner) operate a platform console that can list and view the team members of a merchant workspace (name, email, role and account status) for security, abuse prevention and support. From that console they may, for legitimate operational reasons, reset a merchant user's password, revoke active sessions, or deactivate or reactivate a merchant user or team member. Merchant Owners may also reset passwords for their own team from workspace Settings. These support resets are distinct from the Merchant Owner self-service email reset in section 2. None of these actions by themselves open the merchant's CRM workspace; they are audit-logged. Merchant CRM financial records (invoice amounts, payments collected, deal values and similar) are not shown in the platform console; they remain in the merchant workspace and are only visible to platform staff during a consented support session (section 10).
10. Support access (consented sessions)
Platform support staff (Super Admin / platform owner) may request temporary access to a merchant workspace only to diagnose or resolve a support issue. Access is never granted without the explicit consent of a Merchant Owner for that session. Before approving, the Merchant Owner is shown a disclosure of what support can see and do (including CRM records, settings and team data) and must confirm via checkbox. Refusal or timeout blocks the session. Approved sessions are short-lived (about 30 minutes), have no refresh token, are visible to the Merchant Owner while open, can be ended early by support, and are audit-logged (request, consent, start and end) with consent version recorded per session.
11. Changes to these terms
We may update these terms. When we do, the version number above changes and you will be asked to review and accept the new version at your next sign-in.
